ANNUAL GENERAL MEETING
KAIPUPU POINT MAINLAND ISLAND SOCIETY INC.
SUNDAY 25TH JULY 2010
Foundation Partners, Sponsors, Life Members, Friends, Ladies and Gentlemen, welcome to another Annual General Meeting of the Kaipupu Point Mainland Island Society Incorporated.
The past year has been a busy one with consolidation in areas such as pest eradication, weed control, tracks maintenance and predator proof fence work. For this work we are extremely grateful to team leaders Vince Cowie, Dave Nichols, Paul Mann, Ivor Roser, John Carr and Peter Thorne-George. Preparatory work has been undertaken in the move to making a start on the access jetty and pontoon and landing area on the Shakespeare Bay side of the Peninsular.
During the year the Management Committee appointed a Project Co-ordinator, Jenny Keene. Her role is to promote the Project to Members and the wider public through regular updates and improvement of our website, production of our newsletters, static displays, production of saleable merchandise etc. She will also be responsible for sourcing funds for various specific activities and gathering in new Sponsors. To date she has done great work. Jenny is present today, so please make yourself known if you have any questions regarding any of her areas of responsibility.
As was viewed at the last AGM, the Information Panel, funds for which were so generously donated by NZ King Salmon Ltd., has been put in place at the Shakespeare Bay lookout with a great view towards Kaipupu Point Wildlife Reserve.
One very important activity carried out this past year has been in the field of Education under the excellent guidance and instigation of Andrew John. This activity brings schools into contact with the Kaipupu Project and numerous visits have been organised to the Reserve to study plants and wildlife. Projects are under way to propagate and grow on native plants in school grounds in recently constructed protected areas. This education activity must be one of the greatest insurances for the future of reserves such as Kaipupu. What a pleasure to see the children involved. Thank you, Andrew.
Outward Bound continues to support us with their visits as part of their courses. The access tracks have gone through a major upgrade thanks to the fine work carried out by enthusiastic, fit groups of youngsters. Our Team Leaders really appreciate this help.
In the latter part of the year our long serving Treasurer, Peter McMillan resigned from the Committee and this was accepted with regret. He will present his last Treasurer’s Report at this meeting. Thank you, Peter, for all you have done for Kaipupu since its inception.
There are a great number of businesses and services in Picton and Marlborough who give so much to the Kaipupu Project that if a list were to be made some would inevitably be left off. So to all who have given so much over this last year, a very big thank you. Kaipupu can only survive and move forward with this generosity.
Our Foundation Partners, Port Marlborough NZ Ltd. and Department of Conservation and our Sponsors, Strait Shipping Ltd./Bluebridge Cook Strait Ferries, Wilderness Guides, Aldan Lodge, Biosecurity Ltd., Marlborough Machinery Ltd. together with the increasing numbers of Life, Family and Individual Members are the lifeblood of the Kaipupu Project. We do not forget the large grants given by The Canterbury Community Trust, the Marlborough District Council and NZ King Salmon plus numerous other individuals who have donated hundreds of dollars to various areas of activity.
One of the groups of members who are so vital to the development of Kaipupu are the volunteers. We are fortunate to have a considerable list of members to call on, and we look forward to finding more ways for our keen volunteers to be actively involved. This next year will see a wider range of opportunities for our volunteers to contribute in a practical way, for example promoting the project on Cruise Ship days, manning merchandise sales tables and displays. In the field, completion of the jetty and landing area will open opportunities for considerable tidying up and replanting, and the beginning of visitor track construction. And, of course, there are always opportunities for the able-bodied to assist with weed control, track maintenance, removal of wilding pines and ongoing trapping programmes.
The year ahead should see the jetty, pontoon and landing area completed and hopefully, a start made on laying out the permanent track routes prior to a start on their construction. A little more work is needed to finally complete both sea ends of the predator proof fence. With the fence now 99% in place and trapping programmes continuing, the “Island” environment is certainly improving. Fund raising for these activities will be a big challenge but with similar support we have received in the past few years - we’ll get there!
We all look forward to a successful year of achievement in construction, fund raising, increasing membership and new Sponsors. Maybe we can look forward to having the Reserve open to the public within two years!

Minutes.
Minutes of the 2009 AGM held on the 5th July, 2009 were read out by Alan Izard.
Vince Cowie moved, seconded by Stan Main that they were a true and accurate record. Carried.
Chairman’s Report.
The chairperson, Alan Izard read his report. Alan Izard moved the acceptance of his report which was seconded by Robin Cox. Carried.
Treasurer’s Report.
Rose Prendeville presented the financial report as the treasurer for the year Peter McMillan had placed an apology because of ill health. Revenue figures were $27,762 compared with $86.880 in 2009. Only one grant was received of $5360 for the preparation of the Pest/Weed Management strategy compared with $60,000 in grants last year. Expenses totaled $32,206 compared with $18,037 in the 2009 year. Excess of income over expenditure was -$.4444 compared with $68,823 in 2009.
The Auditor gave a qualified opinion relating to the lack of any practical audit procedures for receiving of donations and sponsorship.
The acceptance of the financial report was moved by Rose Pendeville/seconded by Tania Cowie. Carried
Appointment of Auditor.
It was moved by Rose Pendeville/seconded by Robin Cox the Gary Riggs be appointed as the auditor for the 2011 year. Carried
Subscriptions.
Subscriptions have remained unchanged since the formation of the Society. The management committee recommended to the AGM that the subscriptions change from $10 to $20 for individual membership, from $20 to $30 for family membership and life membership stays unchanged at $250. The corporate membership to be deleted. This motion was put by Alan Izard/seconded by Jo O’Connell. Carried.
Election of Officers.
The constitution allows for the election of 7 members to the management committee.
Three of the existing management committee members were prepared to stand again. These members were Alan Izard, Greg Thompson and Andrew John. It was moved by Robin Cox/ seconded by Tania Cowie that these three be re elected .Carried.

It was moved that the nominations be closed. Moved by David Nichols /seconded by Roy Grose. Carried.
The Chairperson welcomed the new members of the management committee.
Presentations.
As a sign of appreciation the chairperson presented framed certificates to the following for the assistance provided to the Kaipupu project.
Peter McMillan. Working as the treasurer and a very active membership role since the society was established. An apology and will be presented later.
Crafer and Crouch. Providing machinery at little or no cost. To be presented later
Kenny Barging. Free use of his barges for fence and almost surely jetty construction.

Murcure Hotel. For providing a venue for all our AGMs. Presented to Stefan Kracke
Beachcomber Cruises. Providing vessels for at least 4 familiarization trips around Kaipupu Presented to Margaret Crapper.
Morris Contracting. Providing the earthworks associated with the building of the predator fence. To be presented later.
A round of applause was given in recognition of the assistance provided by these benefactors.
General Business.
A question was asked about the use of Methyl Bromide. The chairman said that the management committee did not become involved in the political debate. Individual management committee members were free to have and express their own view but they could not speak for the management committee. Volunteers had not noticed any adverse effects on the birdlife. A dead weka had been observed behind the predator fence but it was felt that its death was probably due to eating rat poison which became exposed when the cover of a bait station was blown off.
There was no other general business so the chairperson thanked everyone for attending. All present were asked to stay for afternoon tea, look at the displays and make their way to the Beachcomber jetty for a 3.30pm departure for the cruise around Kaipupu Mainland Island.
